    How Taxi Dispatch Software Works

The operator's guide to auto-dispatch, ETA prediction, driver allocation, and integrated payments.

Taxi dispatch software is the operating system that turns a fleet of vehicles into a real-time transport network. It takes ride requests from a rider app, a call centre, or a hotel concierge and assigns each one to the best-suited driver in seconds.

Modern platforms like VAMOS combine four layers: a rider app, a driver app, an operator dashboard, and a dispatch engine. Together they replace radio calls, paper logs, and manual allocation with automated decisions grounded in live GPS data.

    1. Ride intake

Every trip starts as a ride request. VAMOS accepts requests from the rider app, the operator web app, hotel partner portals, WhatsApp, phone bookings entered by dispatchers, and API calls from third-party channels.

Each request carries pickup location, destination, vehicle class, scheduled time, and optional preferences (child seat, wheelchair access, English-speaking driver).

    2. Driver allocation

The dispatch engine scores every online driver against the request in real time. Scoring factors include current distance, direction of travel, active job status, driver rating, vehicle class match, and shift-end proximity.

The highest-scoring driver receives the offer first. If they decline or time out, the offer cascades to the next-best candidate. Fleet operators can tune the scoring weights or override with manual dispatch for VIP jobs.

    3. Live tracking

Once accepted, the ride enters the live tracking layer. Rider, operator, and (with permission) the hotel that booked the trip see the vehicle on a map with continuously updated ETA.

SOS buttons, live-share links, and geofenced alerts run on the same telemetry stream, so safety features are effectively free once the tracking layer is in place.

    4. Payment & payout

At drop-off the fare is calculated from metered distance, waiting time, surge rules, and any pre-agreed corporate rates. Payment moves through the integrated processor (Stripe by default on VAMOS) using the rider's stored card, cash, or an invoiced account.

The commission is applied to the rider fare, never the driver payout, and the net amount is queued for the driver's Stripe Connect wallet. Instant payouts let drivers withdraw daily or even mid-shift.

    5. Reporting & optimisation

Every completed ride writes to the analytics layer: utilisation, dead miles, cancellation rate, average pickup ETA, revenue per taxi, driver retention. Operators use these dashboards to move drivers between zones, adjust surge windows, and prove ROI to boards or investors.

Good dispatch software becomes better dispatch software over time. VAMOS re-tunes the allocation model on live data from your fleet, not synthetic benchmarks.
